Deanship of Admissions and Registration

Vision
To serve and support the vision of the University and to be a unique scientific center that best applies ehealth education. To provide educational services that coincide with the highest global standards as well as offer a healthy academic and scientific environment for its community. To inform high school seniors about the University’s faculties and specialized fields.

Mission
To improve the mechanisms of admission, registration and optimum utilization of the university’s capacity as well as easily provide services for students via modern technologies. Achieving a degree of fluency and flexibility in all procedures relating to registration, submission and acceptance through modern and technical means. To guide applicants how to apply to the University and define the admission and registration conditions. To utilize all the manpower and technical potentials to promote and develop KSAUHS.


Duties

The Deanship has a vital role as one of the most important deanships in the University in defining registration and submission procedures. It seeks to devote its manpower and technical potentials to help students complete the electronic registration easily. It also strives to competently attain the mission and goals of the University. 

Objectives

To implement all that falls within the University specialty and regulations in correspondence with the required timetable. To achieve success in all programs as well as to ensure the reliability of the educational process that allows the student to make the most of its potential and equipment, including:

  • Determining the conditions of admission and the capacity of the College.
  • Facilitating the procedures of admission in various colleges and postgraduate programs.
  • Providing the colleges with the list of admitted students in each semester.
  • Documenting students’ personal information and distributing them to complete academic guidance.
  • Reviewing and editing the information in the students’ records.
  • Issuing lists of students who apply for withdrawal or cancellation of the semester, or who apply for transferring to another College within the University or outside of the University.
  • Issuing lists of students who excel in every academic year, according to the rules and regulations.
  • Preparing students’ reports and general statistics and providing the related departments with copies of them.
  • Preparing the University calendar.
  • Issuing university students ID cards after completing their data.
  • Implementing postponement requests and auditing them.
  • Carrying out the administrative and technical tasks regarding students’ stipend.
  • Participating in specialized local and international conferences and seminars that expand the students’ knowledge and contributes in the development and refinement of their skills and experiences.
  • Participating in academic activities, such as: attending seminars and lectures, or participating in extracurricular activities, such as: cultural and sports competitions and others.
  • Organizing the annual graduation ceremony.
  • Preparing graduation videos in collaboration with the Department of Media and Public Relations in the University.

Stages of development in the Deanship Departments:

The Deanship of Admission and Registration Affairs in King Saud bin Abdulaziz University for Health Sciences is one of the most important deanships as it’s the doorway to the University. It is responsible for introducing prospective students to the colleges, their systems, and their rules and regulations. It serves to educate students about registration, examination, vacation days, and prepares records and students’ overall results. Furthermore, it issues graduation certificates, ID cards, academic calendar and organizes competitions in extracurricular activities and supervises all that relates to graduation ceremonies.

In a short time and despite its recent inception, the Deanship was able to build up the admission and registration methodology in University through the application of a shortterm plan that met the admission and registration requirements. The Deanship is now in the process of developing a longterm strategic plan which aims to achieve its mission and objectives to strengthen its position as the backbone of the educational process in the University.

General Guidelines for Students:

  • Compliance with the review deadlines set by the faculty members.
  • Keeping updated to the information in the brochures issued by the College or University.
  • Withdraw or add a course when absolutely necessary.
  • Asking academic supervisors’ assistance in selecting the appropriate courses.
  • Consulting the deanship when confronted with any problem.
  • Participating in extracurricular activities.
  • Maintaining University property and following the rules and regulations.
  • Committing to religious values, traditions and social norms.
  • Taking advantage of the possibilities available in the University.

Acceptance criteria:

Acceptance in King Saud bin Abdulaziz University for Health Sciences depends on differentiation and competition for available seats each year. The admission to the University is linked to the provisions of Article III in the University Degrees Studying and Tests Regulation. The certain standards set by the University Council and announced at the time of submission and need to be upheld. Admission also depends on Article IV in the Regulations which states that admission relies on differentiation according to grades, personal interviews and entrance tests if applicable.

As approved by the University Council, the admission criteria will be as follows:

  • Cumulative percentage of high school certificate.
  • Achievement test.
  • Aptitude test.
  • Personal interview.

These criteria include the following:

  • Accumulative percentage of high school certificate grade 35%.
  • Aptitude test grade 30%
  • Achievement test grade 35% 

The rate is calculated based on differentiating between students as follows:
Composite ratio = (Cumulative percentage of high school certificate  results × 0.35) + (Aptitude test results × 0.30) + (Achievement test result 0.35)

Example of the method of calculating the ratio: 
A student got in his high school certificate (95.00%), in his general aptitude test (85.00%), and in his achievement test (80.00%) 

The grades will be calculated as follows:  Accumulative grade = (95 × 0.35) + (85 ×0.30) + (80 ×0.35) = 86

This is the ratio to which the differentiation between students is based on and is applicable for those who meet the general admission requirements.

The electronic registration program will then calculate the criteria after which names of students to be interviewed will be posted on the University’s website and through email or contacting the student by the means he/she had specified when applying.

The student will be asked to bring the following documents:

  • Two copies of the high school certificate with the original for matching (the original certificate will be submitted in case of acceptance).
  • Two copies of the ID card along with the original or the family member’s card for female students.
  • A copy of the Good Conduct certificate plus four personal photos.

Important Instructions:

  • Performing the aptitude and achievement test, the general capability exam and the interview does not mean being accepted in the University.
  • Acceptance of students is subject to the differentiation between students in accordance with the composite ratio and the availability of seats.
  • Acceptance depends on the availability of seats and the superiority specified by the student in the request application.
  • Inability of the student to complete any step in the procedures disqualifies him/her from the competition.
  • Student should carry his/her temporary ID card when attending for interviews and during all stages of the admission procedures and registration.
  • The temporary ID will be replaced by a permanent one after the student is accepted.
  • The final acceptance results will be published on the University website or in local daily newspapers.
  • The full name should be written in Arabic, in concurrence with the high school diploma certificate. 
  • After calling the student for an interview, the student will be required to complete the documents and match them with the original.

  • College of Medicine:
    • Medical Education Master Degree.
  • Public Health and Health Informatics:
    • Health Informatics Master Degree.
    • Quality Managements Master Degree.
    • Epidemiology Master Degree.
  • King Abduallah International Center for Scientific Research: Master of Bioethics in collaboration with the UNESCO.
  • Medical Fellowships: Fellowships are awarded in general medical specialties and fine disciplines.
